Scheduling Your Field Trip

 
Schools are advised to arrange bus transportation for student trips with the District’s Transportation Services Division. Transportation requests for all student trips must be received a minimum of 15 working days prior to the trip. Please call the Transportation Services Division at 800-522-8737 for assistance in arranging District transportation for student trips.
 
To organize a successful bus field trip, just follow these three simple steps:
 
Step 1: Determine whether the Transportation Services Division can help you schedule and cancel appointments with the field trip site that you are visiting

one of the sites listed, call our School Journeys section at 323-342-1342 to schedule an appointment with the site.
 
Step 2: Complete and submit the field trip application through the online field trip request system.
 
OR
 
As an alternative to completing the application online, complete and submit the appropriate hardcopy forms per the funding source of your trip.


The forms are available for download and for completion using Microsoft Word. To download a form, right click on a form and select "Save Target As...". Select a location to save the file to and click on "Save".

Non-Integration, Special Education or Gifted Program funded field trips or athletic trips:
Form 78.20T - Application for Auxiliary Transportation/Trip(s)
 
Student Body funded field trips or Student Body funded athletic trips:
Form 78.20R - Authorization for Payment of Student Body and/or Reimbursable Trips
and
Form 78.20T - Application for Auxiliary Transportation/Trip(s)
 
Athletic Office funded athletic trips:
Form 78.20A – Request for Athletic Contest Bus. A spreadsheet approved by the Interscholastic Athletics Office and the Transportation Services Division may be used for multiple bus orders. This spreadsheet may be obtained from the Office of Interscholastic Athletics at 213-745-1980.
 
Integration Program funded field trips or athletic trips:
Form 78.20I – Application for Auxiliary Transportation/Trip(s)
 
Form 78.201I can be obtained from the Office of Student Integration at 213-241-6532. Form 78.20T, Form 78.20R, and Form 78.20A can be obtained from the Transportation Services Division, Accounting Unit at 323-342-1320.
  
Step 3: Receive a Trip Confirmation Number
 
Upon the receipt of your application, Transportation Services Division will fax you a Trip Confirmation Report which contains the trip confirmation number.
 
Written trip confirmations contain all information pertaining to your field trip, such as your school code/location code, date of trip, pick-up time, destination, number of students, etc. This should be received by your school office two to three weeks prior to your field trip (at the latest). Please review all details and make sure everything regarding your trip is correct. If any changes should occur before the time of the trip or if you have not received a Trip Confirmation Report one week prior to the scheduled trip, contact the Dispatch Office at 323-342-1460 or 1-800-LA-BUSES.
 
If you have more than one bus scheduled for the same destination, please be sure to get a confirmation number for each bus booked.
